PRACTICAL TOOL
Feedback completion calculator
Separate delivered invitations, started surveys, and completed responses. See the workload behind reading the feedback.
Three distinct measures
Invitation-to-completion rate = completed responses ÷ delivered invitations × 100. Completion among starters = completed responses ÷ started surveys × 100, when at least one survey was started. Reading allowance = completed responses × your minutes per response. The calculator requires completed ≤ started ≤ delivered, and whole-number counts. If there are no starts, completion among starters is undefined rather than zero.
Follow the default example
For 250 delivered invitations, 80 starts, and 60 completed responses, invitation-to-completion is 24%. Completion among starters is 75%. At two minutes of initial reading per completed response, allow 120 minutes or two hours. The reading model does not include a later investigation, customer reply, meetings, or a complex case; budget those activities separately.
Choose a channel with a defensible denominator
A controlled email invitation list may provide a delivered count. A public QR poster usually does not establish how many people saw the invitation, so this invitation model may not fit. Do not invent an exposure denominator to create a percentage. Public feedback counts can still be reported usefully without a response-rate claim.
Limits of the result
These are simple operational ratios, not statistical significance calculations, population estimates, or a full implementation of formal survey response-rate standards. A high rate does not establish a representative or unbiased sample. Keep the invitation rules, question wording, date window, and counting method alongside the result when comparing periods.
